    Guidelines for Effective Listening in Fundraising

    • Prepare with intent: Before engaging with a donor, familiarise yourself with their background, previous interactions, and giving history. Approach the conversation with the goal of understanding their motivations and values.
    • Create a welcoming environment: Make donors feel comfortable and valued. Use open-ended questions to invite them to share their thoughts and feelings. Ensure the setting (whether in person or virtual) is conducive to open communication.
    • Practice active listening: Focus entirely on the donor when they speak. Avoid interrupting, and acknowledge their points with nods or brief affirmations. Reflect on what they’ve said by summarising their key points and asking follow-up questions.
    • Be attuned to nonverbal cues: Pay attention to the donor’s body language, tone of voice, and facial expressions. These can provide insights into their emotions and level of engagement.
    • Avoid making assumptions: Don’t assume you know why a donor gives. Listen without preconceived notions, and let the donor articulate their motivations in their own words.
    • Respond thoughtfully: After listening, respond in a way that shows you’ve truly understood the donor’s perspective. Connect their motivations to the impact they can have through your organisation.
    • Document key insights: After the conversation, take notes on the donor’s motivations, interests, and any personal details that may be relevant for future interactions. Use this information to tailor future communications.
    • Incorporate insights into strategy: Use what you’ve learned to shape your fundraising approach. Align your proposals, communications, and events with the donor’s values and interests.
